1.   Purpose of Use

Users are sometimes asked to provide personal information (such as name and email address), in order to access and use the services on our website. Such services are, for example, announcements and contests, online discussions, discussion forums and customized services. When you fill in your details in the fields provided, UBC and its service providers can offer you the services you have chosen. Whenever you provide personal data, we process it in accordance with the present data protection practices. The purpose of the services we offer is to provide you with the information you desire. UCB complies with current legislation and conducts its business in accordance with best internet practices.

2.   Information about the visitor

As a visitor to our website, you can reach the entry page and browse through certain sub-areas without revealing any information that can be used to identify you as a person. We do not register data that comes from your browser, such as which website you navigated from (URL address), what type of browser you use, how long you navigate between web pages, what day you visit our website or other data through which you could be identified as a person. Some of our web pages require you to register, so that you can navigate to certain parts of the web pages. We also register information about you that the web server collects automatically, for example your IP address and your region. UCB can use this information to adapt its offer and proposals. 3.   Transfer of personal data

When you provide personal data to UCB (for example for competitions, online discussions or UCB’s customized services), we are obliged by law to process your personal data in a special way. We are obliged to collect the data in accordance with the provisions of the law, that is, we must tell you how your data is used (some web pages’ messages contain information about why the data is requested) and notify whether we intend to disclose the data to third parties.

All the information you provide to UCB is usually only used internally within the company. The information is never disclosed to external bodies without first asking for your approval, unless the legislation requires that the information be disclosed.

We store your personal data in our system as long as you use the services you desire and delete them if the purpose has been fulfilled or if you no longer wish to be registered as a user of tailored services. When we store the data of such persons who have not yet registered but have used other services that UCB provides (for example competitions), this data is only stored as long as it is needed for the service to function smoothly. We ensure that all personal data is stored securely and in accordance with the legislation that applies to data security. If it is stated on UCB’s website that, due to the administration of the service, UCB can contact you using the information you have provided, this means that UCB can contact you in matters related to the service you requested. This happens, for example, when we remind you of your password or notify you of an interruption in a certain service due to maintenance.

We will not contact you for sales promotion purposes, for example by notifying you of improvements to a particular service or of new services, unless you specifically consent to this type of contact by providing information about yourself on the website or by later agreeing to receive sales promotion information .

UCB collects information that enables the identification of individual visitors to the website only if the information is provided voluntarily. In the window for registration, it is clearly marked which information is mandatory during registration and which is optional. You can also choose whether you want to receive information by e-mail. We also collect voluntary data based on responses to questionnaires, surveys and similar sources. When UCB receives information that makes it possible to identify an individual, it may happen that we use the information for purposes that are justified from a business perspective, in the same way that companies that do not conduct business over the Internet also do. With the help of this information, we can, for example, contact you by post or e-mail or provide you with information that you may find interesting. The data can also be used for compiling information and for analysis, so that we can respond to our customers’ needs. When you use the discussion function on our website or visit the discussion forum, you submit your message and your username, which becomes visible to all registered users. Do not post information to our discussion forums, or to other open discussion forums, that you wish to keep to yourself. We may also ask you to provide us with additional information in the form of, for example, your e-mail address, if you want to access more services or more information, if you want to make a complaint or if you want to alert us to a problem.

4. The data lock mark

5.   Sensitive data

Collection and processing of sensitive data is linked to special obligations and special responsibilities with respect to data protection, data integrity and personal integrity. UCB ensures that sensitive data is collected and processed with the user’s express consent and in accordance with applicable legislation.

Sensitive information is not disclosed to suppliers outside UCB.

6.   Aggregated data

For product development purposes and to improve our products, we may create aggregated information about everyone who visits our website. We also use this data for market research. We may disclose to third parties information about our website in the form of aggregated data from which personal data enabling identification of individuals has been removed. When we disclose aggregate health information, we search for it in individual files but remove before use any information that could be used to identify individuals. We may invoice for the aggregated data, according to an agreement we entered into with the third party.

People and companies who work for us: We use as subcontractors other companies and people who produce services for us. If you are a healthcare professional, we may, in addition to other information, also check your competence in the databases relating to authorized healthcare professionals. The companies or persons in question may have limited rights to process some of the personal data we register about our users.

Other companies may collect data on our behalf through their websites. In such cases, the sites may have frames that prevent the browser’s address window from displaying the URLs of the individual web pages. We require that all companies in question, in accordance with our data protection practices, limit the user rights regarding personal data to include only such processing as is absolutely necessary for the fulfillment of the obligations and that they do not use the data for purposes other than to carry out their tasks for us.

We strive to the best of our ability to limit other companies’ processing of the data in all areas that may possibly include identifiable personal data from healthcare. When third parties only process the data in question on our behalf, we require them to comply with the data protection legislation that applies to the processing of such data.
Intercompany Transfer: If we transfer a business unit (for example, a subsidiary) or a fixed asset (for example, a website) to another company, we require that company to comply with the terms of this Privacy Practices.

Statutory requirements: We may disclose information if we determine that disclosure is necessary to comply with laws and regulations or if disclosure may be necessary to prevent death or serious injury.
